Customer support automation with an AI chatbot for small stores
Customer support automation means letting an AI assistant answer the repeat questions (shipping, returns, price, stock, opening hours) from your own documents, so your people can spend their time on complaints, negotiation and customers who are ready to buy. The point is not to talk to fewer customers, but to answer instantly and get the hard cases to the right person.
This page is an overview for small-store owners: what to automate, what to keep human, how to measure it and how to roll it out. If chatbots are new to you, start with what an AI chatbot is.
What should you automate first?
Start with the questions you type again and again. The table shows the usual groups and where the assistant finds each answer.
| Question group | What customers write | Where the assistant answers from |
|---|---|---|
| Shipping and delivery time | "Do you ship to Canada, and how long does it take?" | Your shipping policy |
| Returns and exchanges | "Can I swap this for a bigger size?" | Your return policy |
| Price and offers | "Is the bundle cheaper than buying separately?" | Your product list and the offers you write down |
| Stock | "Is the black one back in size M?" | Your product data |
| Hours and location | "Are you open on Sunday?" | Your business profile |
| Product details | "What is it made of? Can I machine wash it?" | Your product descriptions |
The assistant is only as good as the documents behind it. So your shipping and returns answers need to exist in your knowledge sources before you switch it on for customers. Writing them well is covered in writing good knowledge for your chatbot.
What should stay with a person?
Good automation knows where to stop. Keep these with a human:
- Complaints and damaged goods.
- Price negotiation and exceptions, such as an extra discount or a return after the deadline.
- Refund and compensation decisions. The assistant does not create return requests and does not take payments.
- Order lookups outside TikTok Shop. The assistant can check TikTok Shop order status only, after the customer confirms the last 4 digits of their phone number.
- Medical, legal and financial questions. The assistant shares what is in your documents and hands anything that needs professional advice to a qualified person.
- Customers who ask for a person. That is always their call.
How does an honest handoff work?
What keeps the human touch is a clear route from the assistant to your team, not forcing the assistant to answer everything. In the Assistant section you choose when to hand off: whenever the assistant is not sure, only when the customer asks for a person, or never. It also hands off on its own when the AI hits an error, when a usage limit is reached or when a message cannot be read.
When a chat is handed off, it shows up in your shared Inbox with an email alert (on by default) and an in-app alert. A team member takes the conversation, replies in the same chat, then hands it back to the assistant manually or automatically after 15, 30, 60 or 240 minutes. The steps are in setting up handoff to your team, and the term itself is defined in the handoff glossary entry.
How do you measure support automation?
You do not need another spreadsheet. The Home page of the dashboard shows conversations, how many the assistant resolved and how many were handed to a person, by week or by month. The insights are on every plan and three things are worth watching:
- Unanswered questions from the last 30 days, grouped by reason: the assistant was unsure, knowledge was missing, the answer was marked not helpful, or the chat was handed to your team.
- Customer ratings from 1 to 5, when you turn on the rating prompt in the website chat settings.
- Suggested next steps, such as teaching the assistant the answers it is missing or reviewing chats with low ratings.
Each question on the Improve answers page has a Write the answer button: you type the answer once, it is saved to your knowledge, and the next customer who asks gets it. A few minutes a week on this list is the cheapest way to make the assistant better.
Which channels should the assistant cover?
Customers do not all message in one place, so automation only helps where they ask. AI Chatbot runs on the website chat widget, Facebook Messenger (your Page inbox), Shopee chat and TikTok Shop chat, all sharing one knowledge base and one Inbox. No plan limits the number of channels.
Turn on the channel your customers use most, then add more. Each channel has limits, listed on the integrations page and in the channel glossary entry: Messenger covers the Page inbox only, not comments under posts. Read more about the Messenger chatbot.
A five-step rollout plan
- Collect the 15-20 questions customers ask most. Reread old messages from your inbox and marketplace chats, then group them like the table above.
- Add your documents. Import your website, upload PDF, DOCX, TXT or CSV files, and write short answers by hand for anything not written down anywhere. The getting started guide walks through it.
- Test privately. Ask the assistant the exact questions customers ask in the Try it panel, mark answers helpful or not, and check which topics are still missing: shipping, returns, payment methods, opening hours and product information.
- Set the handoff rule and tone, turn on alerts, then connect one channel first.
- Go live and review weekly. Work through the unanswered list, read the low-rated chats, then add more channels.
Where to start, by type of store
The approach changes with how you sell:
- Selling from your own storefront: see how it works for online stores.
- Selling subscription boxes: see how it works for subscription box shops.
- Selling on Shopee or TikTok Shop: see how it works for marketplace sellers.

Frequently asked questions
Will automating support make my store feel less personal?
Not if the handoff is clear. The assistant takes the repeat questions so your team has time for complaints and high-value customers, and anyone who asks for a person is passed to one right away.
Which questions should I automate first?
Start with shipping, returns, price, stock, opening hours and product details. They come up most often, and the answers already exist in your own documents.
What happens when the chatbot does not know the answer?
Depending on the rule you choose, the assistant says it is not sure and passes the chat to your team instead of guessing. The question also lands in the unanswered list so you can add the missing knowledge.
How do I know the automation is working?
Check the Home page and the Improve answers page: chats the assistant resolved versus chats handed off, questions it could not answer in the last 30 days, and customer ratings. A shorter unanswered list each week means your knowledge is getting more complete.
Does the chatbot create orders or process returns for me?
No. It advises, checks stock and leads the customer to the ordering step. Creating orders, taking payment and approving returns stay with you.
Do I need a paid plan to start?
There is a free plan for trying the assistant on real customer questions, and the unanswered-questions insights are included on every plan. See the pricing page for plan details.
