AI chatbot for subscription boxes: billing, skip, pause, cancel
An AI chatbot for subscription boxes answers billing-cycle, skip, swap, pause and cancellation policy questions straight from your written policy, so your team can spend its time on keeping subscribers. The assistant answers from written knowledge only: it cannot see a customer's subscription, change, pause or cancel anything, or charge and refund, and any request tied to a specific account is handed to your team.
That promise is modest, and it is enough to clear the repeat messages that pile up around each billing date.
What subscription policy questions can it answer?
| Subscriber asks | What the assistant does |
|---|---|
| "When will I be charged for this month's box?" | States the billing-cycle rule you wrote, such as the day of the month; it cannot see this customer's own charge date |
| "Can I skip next month?" | States your skip policy: the deadline, how many skips are allowed and how to ask |
| "Can I swap the flavour in my next box?" | States the swap conditions and cutoff |
| "Can I pause for two months?" | States the longest pause allowed and how to restart |
| "How do I cancel, and is there a fee?" | States the steps and conditions; hands off if the customer wants you to act |
| "I was charged twice this month" | Hands off to your team |
| "Where is my box?" | Hands off, because the assistant cannot see each plan's shipping schedule |
Why hand policy questions to an assistant?
Renewal questions bunch up in the days before each cutoff, and the answer is always the same. The assistant gives the policy answer instantly, day or night. Your team keeps its energy for conversations that need a person, such as a subscriber about to leave because the box missed the mark or one upset about a charge, where listening and judgment count.
How to write policies so the assistant gets them right
The assistant is only as good as what you write, so be specific.
- One entry per policy: billing cycle, skip, swap, pause and cancel.
- State the cutoff and the conditions, for example "Skip requests received before the 20th apply to next month's box."
- Say where the subscriber acts: on your account page, or by messaging your team.
- List what it must never promise in the Never say field of your Business profile, such as exception refunds or extra skips.
- Set a handoff rule, for example always passing cancellation requests and billing disputes to a person.
- Test and refine in the Try it panel, then open Improve answers to see which questions the assistant could not settle.

What the assistant will not do, and when it hands off
- It cannot see a customer's account or subscription, so it does not know which cycle they are in or how many skips they have used.
- It cannot change, pause or cancel a plan.
- It cannot charge, refund, or create or confirm orders.
- It does not offer save deals on its own and does not message customers after they cancel.
Anything tied to a specific account goes through handoff: a cancellation request, a wrong-charge complaint, an address change or a damaged box. When a chat is handed off, the assistant stops replying so your team can take over, and your team sees the whole conversation in the shared inbox and acts in your own system. When they are done, they hand it back to the assistant, manually or automatically after 15, 30, 60 or 240 minutes. The handoff setup guide covers the options, and handoff is defined in the glossary.

Frequently asked questions
Can the chatbot see a subscriber's plan or account?
No. The assistant answers only from the knowledge you have written, so it cannot see one customer's billing date, plan status or box history.
What happens when a customer says "please cancel my subscription"?
The assistant explains how to cancel and the deadline from your written policy, then hands the chat to your team if the customer wants you to act. It never cancels a plan itself or offers a save deal.
Can it charge or refund a subscriber?
No. Every change to a plan and every money action is done by your team in your own subscription system.
How do I stop it misquoting my cancellation policy?
Write the policy plainly, test it with real subscriber questions in the Try it panel, and list promises it must never make in the Never say field. If an answer is off, fix it from the Improve answers page.
